#scopecreeping



During the spring semester my department was approached by the Dean to do interdisciplinary project for the systems office professional development day. Each department was supposed to come up with ideas for the project and implement them before the presentation.  It was fairly easy for my department because no one else can teach the students proper infection control in our area.  

We set out the plan and almost everyone stayed on task.  One of the department managers misunderstood the project or decided her way was better and caused major delays. With two thirds complete we started to brainstorm and begin taping the video for the presentation. 

Two weeks before the professional development day the third manager, whom did not follow instructions, showed up with data to add to the presentation.  At this time we had to add this to the existing work because there was no time to implement a simulation with her group.  

During the presentation you could obviously see what parts did not fit into the project.  In the future we will set deadlines on dates for implementation.  When you are speaking to individuals from all over the state about how you are performing a project, it should at least look like you know what you are doing.

Activity Scheduling

Asana


The first tool I came across was the Asana application.  It reminds me of using and learning management system.  You can invite individuals to the page or make it public for viewing.  I had to set up an account to see the application.  That seem like it was a bit much to just try it out but I was impressed with it.   The calendar allows you to set appoints or leave sticky notes for reminders or schedule meetings with the team.  They offer blank and standard templates to start projects.  If you use their standard design templates you do not have to add in all the sections available.  They give the option to delete the unused areas.  The application also have mobile capabilities and a messaging option.  As a beginner designer, I think this would be a good tool for me to use.  

Airtable


The second application was also useful.  Airtable can be used both mobile and on a desktop.  It gives the project manager the availability to organize anything anywhere.  It also provides real time collaborations with the team.  It provides several views that appeal to different styles of designing and organizing.  The application connects with other frequently used applications providing quick access to needed documents.  The templates that are offered would allow projects to be built in almost any field or even everyday events.  It's affordable too depending on how much data will need to be stored or transferred.
